MyHRToolkit is an HR software system that aims to streamline common HR processes like time off requests, absence management, performance appraisals (performance reviews), document management and reporting. Two features that make it a useful safety management tool to consider are their health & safety and training management modules. MyHRToolkit is a great option to consider if you don’t already have HR software addressing these other core HR functions separately, since there is value in having your safety system linked directly to your human resources information system (HRIS) too.

HR teams can use MyHRToolkit’s health & safety module to record accidents, track incident progress, and upload images, as needed. You can also use it to host internal training courses, track staff attendance, and review user scores on training courses.

Comparison Criteria

Wondering what I look for when selecting the best safety management software? Here’s a summary of my evaluation criteria:

  1. User Interface (UI): I look for software with a clean, colourful and uncluttered web and mobile interface that employees will enjoy using.
  2. Usability: I prioritize software that’s straightforward and easy-to-use, either through the web interface or on a mobile device. The ability to automate how form data is stored and distributed is also a key factor.
  3. Value for Price: While I always prefer software with transparent pricing structures, sometimes those details are not readily available. Instead, pricing is often dependent on the size of your organization and the exact suite of modules you require.

Safety Management Software: Key Features

Here’s a summary of the main features you can expect to find in the best safety management software:

  1. Digital forms that are mobile accessible: The days of paper-based safety forms are over. Instead, digital forms increase efficiency as workers can complete safety-related forms and checklists on mobile devices from anywhere.
  2. Real-time data dashboards: Once your safety program is digitized, your data can flow into customized data dashboards in real-time, meaning your safety stats are always up-to-date.
  3. Health & safety reports and analytics: All the top safety management systems have built-in reporting and analytics tools to eliminate the need for manual categorization and data crunching.
  4. Document hosting and storage: This feature is useful as it allows you to create a repository of your safety-related documents, such as your company safety manual, standard operating procedures (SOPs), safety data sheets (SDS), internal safety training documents, and anything else your workforce should easily be able to access.
  5. Training certificate tracking, with automated reminders: It may not sound like much at first glance, but this feature is worth its weight in gold. The best safety management software supports workforces of any size by storing training certificate details such as expiry dates, and automatically sending out reminders so nothing lapses unexpectedly.
  6. Assignable tasks and action tracking: To ensure your workforce stays compliant, safety management systems make it possible to assign individual tasks—such as incomplete forms or expired training—to individual workers, with automated reminders until they get the job done. This one feature goes a long way towards achieving 100% compliance.
  7. Customizable templates for safety-specific tasks: Why reinvent the wheel when you don’t need to? The best safety management systems have libraries of pre-built templates that you can use as-is, or customize as needed for your specific use cases.

If you need help with the document management side of your safety program, I recommend looking into policy management software to replace many processes you may currently be doing manually.

What’s The Relationship Between HR And Health & Safety?

Human Resources (HR) has a very wide scope these days. Depending on the size of your organization, you may have many HR people in your team, or, you may have one. Regardless of the size of your team, maintaining a safe work environment for your staff is always a top priority.

HR staff are generally responsible for taking care of employees. This includes a wide range of tasks—everything from onboarding, administering benefits and wellness plans, enforcing corporate policies, reviewing employee performance, and many other things. HR staff are also responsible for employee training—both internal and external—as well as detailed record-keeping for auditing and compliance purposes.

An HR representative may also be a member of your Occupational Health and Safety (OHS) Committee. Though, even if they aren’t, they will certainly be involved if anything unfortunate happens and an employee is injured on the job.

HR staff are often on the frontlines of dealing with employee feedback too, which is frequently related to OHS policies or processes that need improvement.

For more details on how HR and health & safety go hand-in-hand, take a look at this article from OHS Online focused on Bridging the Gap Between HR and Safety.

Or, if you're keen to improve your knowledge of occupational health and safety, while also gaining a new credential for your CV, consider adding a safety certification course to your professional development plan.
